On-Site Property Manager
We are a 150 Unit ocean-front high-rise community seeking an EXPERIENCED on-site LCAM for a part-time position of 30-35 hours/week, Monday-Friday.
There is some flexibility with regard to which hours per day you will work. The hourly rate is based on the candidate’s experience and skills.
The successful applicant will have a minimum of three (3) years working as an on-site LCAM for a similar-sized association. We are looking for a very hands-on individual to support an extremely active and involved Board and must be willing to work in a fast-paced environment. PLEASE DO NOT APPLY IF YOU DO NOT HAVE AT LEAST 3 YEARS OF EXPERIENCE AS AN ON-SITE LCAM.
Skills and Qualifications Needed:
College degree preferred but not required
Current CAM License required
Current Notary License required
Must possess strong office management and organizational skills
Proficient in MS Excel and MS Word software
Minimum of three (3) years of experience as an on-site property manager and manager of staff
Strong interpersonal skills required.
Ability to work extended/flexible hours based on association requirements.
Ability to pass a background screening
Responsibilities and Duties of the Position:
Financial Matters
Open mail and scan invoices for electronic submission to the accountant
Scan bank statements and email to the accountant
Categorize credit card statements into appropriate General Ledger accounts
Building & Grounds
Tour the property to identify areas that need repair or maintenance
Complete work order forms and provide to maintenance staff or Maintenance Director
Walk each floor of the building to identify rules violations and maintenance needs
The Manager and the Maintenance Advisor should work together and be in frequent communication regarding any maintenance staff issues, work order assignments and task status.
Order cleaning supplies and collect vendor services bids as directed
Personnel
The Manager will be responsible for training and scheduling the hourly Front Desk staff
Time card calculation and enter payroll information into ADP online system
Conduct annual employee performance reviews
Unit Purchase Applications
The Manager is responsible for collecting, scanning all information related to the purchase application, and emailing the package to the Board.
Schedule interviews and prepare the packages for Interview Committee residents
Complete all association legal documents required for the closing of a unit and give it to the Secretary and President to sign.
Resident Related
Maintain an accurate and updated Master Unit Owner database (with addresses)
Keep an updated list of those residents who are in residence and those who have guests staying in the unit
Address all complaints from residents and keep the BOD informed of any complaints and proposed resolutions
Ensure that residents have submitted the required forms and permits before contractors are allowed to work in units
Prepare a letter to be sent to residents who have rules violations
Legal Matters
Maintain an up-to-date record of unit ownership and owner contact database
Post all official meeting notices
Handle all required mailings and document preparation for Budget and Annual Meetings, and the election of Directors
Attend Board of Director and Annual Meetings
